VIRTUAL MEETS (IMP POINTS)

 Subject: " VIRTUAL GET TOGETHER(GT) (VERY IMPORTANT NOTES)
The points mentioned below are very very important , Please read and grasp
them so that we have a memorable Virtual Meet on the 15th.
 
We have been able to cover enough ground by holding practice sessions and
are quite confident that our Virtual meet on 15th will be smooth and without
any confusion. Imagine if all the 55 plus in the Meet begin to talk, it will be
utter confusion.
The key to Success of any video meet is to maintain high order of communication
discipline among the participants. Therefore the host (anchor) of the meet
has to exercise control and every one is requested to cooperate with him.
 
The Participants will only talk when invited to do so by the Controller  (Anchor).
The meeting Room will open around 1920 hrs to usher you in when you
announce your arrival by pressing "ASK TO JIN". After we all are settled the
formal prog as per schedule will start at 19:50 hrs with every ones' microphone 
muted (OFF).
You should be able to UNMUTE your mic quickly when asked by the host to do so.
In case of delay more than 5 seconds you may lose your turn to speak.
On finishing your speech you must MUTE you microphones without fail.
 
If in between some one wishes to pass on a point, he should raise his
hand (Mic MUTED) which will be ack by the host by raising his hand,
Please wait wait till asked by the controller to Come in.
 
For this purpose the participants must be quite conversant to quickly Mute and
Unmute their microphones. Hence practice in your own time today before the
meeting may be useful,  
 
Please follow the following procedure to have a dry run in your own time
on your laptop so given in succeeding paragraphs.
 
When you open  meet.google.com  in Chrome you will see the following page.
In case you are using some one else's computer CHANGE THE SIGN IN on the
CHROME WITH YOUR GMAIL ACCOUNT, this will ensure that your video will
show your name and not that of the owner of the Laptop.
 
 
 
Here donot click on START THE MEETING but fill in the Meeting Code
already passed on to you in the other Box. . On its right  "JOIN" will
be hi-ltd in green ,  click on  it.
You will see the next page as below, here your computer camera will start
showing your picture.
However in case you have clicked on the LINK as given to you or copy pasted
in your Chrome browser, it will take you directly to this page.
 
In case Camera has not started here is something
wrong with your laptop and will need help or repairs.
 
 
Here note the MIC and Camera Icons bottom Centre of the the picture in circles.
Their default condition is UNMUTED (ON) . When you speak the Green horizontal
dots on bottom left of the picture will show the waves going up and down
indicating that mic is working fine.
   The vertical dots on bottom right will open some more options for you incl setting up
of SOUND both Mic and Speakers..
 
Try your hand now on these icons,  mouse click on them will change their status.
Try several times to manipulate audio (MIC)  or video (CAMERA) -
In case their status changes as seen in the following screen shot Your system is
functioning OK. If NOT you will need help as there could be any thing wrong
in your laptop.. One can use a web cam and Headphone with Mic.
 
Please practice Muting and Unmuting of the MIC and Video.
 
 
 
Once your system is working fine then only proceed further by clicking
on Green Button "ASK TO JOIN".  Do not for heaven's sake click
on "PRESENT".  You will be asked to wait till some one opens the
meeting door for you to join. By any chance if you have clicked on
PRESENT you will be moved to waiting room till you come back
again correctly.
 
 
No one is here means the host has not yet started the meeting otherwise
it will be ready to join.
 
When you join you will see others in the meet in Grid view on your screen.
Please look at the screen (Set for Grid view)  as below:-
 
 
While on the meeting Screen you will have to control your microphone , here
move your mouse any where on your screen, a new ribbon will pop up from
bottom which have the controls needed as marked o the following graphic.:-
 
 
(Note in place of single photo as above you will be on Grid view seeing all members)
To enter grid view click on vertical dots right bottom, drop up menu will open, select
CHANGE LAYOUT, OPTIONS WILL OPEN SELECT    "TILED", IT WILL ADJUST TO
LAY OUT OF YOUR SCREEN TO ACCEPT LARGER NUMBER OF PARTICIPANTS.
 
All controls are annotated, please practice by setting up one to one meet at home using your
Phone and laptop
 
 
LIGHTING AND CAMERA FRAMING
 
Ensure front lighting FALLING ON YOUR FACE so that it is bright.
There should be no lights at your back or sides. Sit and see your self in
the camera picture being displayed so that your rightly in the frame
which others will see you as.
 
Make sure that there are no Noises, Music,  TV , Fan or AC sounds in the
room, It must be all quiet. In case you have to attend to telephone or
talk to some one, pl ensure that your mic is muted.
 
In case You find that that you are disconnected from the meeting because
of some problem please close your browser and rerun the procedure to rejoin.
